Shipping Rate Calculator: Find the Cheapest Option
Shipping Rate Calculator: Find the Cheapest Option
The cheapest carrier depends on weight, box size, distance and where you buy the label. That’s why a rate calculator beats rules of thumb.
Using October 2026 prices for a cross-country (Zone 8) shipment, USPS Ground Advantage was the clear winner for light packages: $10.20 at the counter for an 8 oz parcel, against $19.59 for FedEx Ground at retail. At 10 lb the two were nearly even. For a 25 lb box, FedEx Ground’s retail price ($93.40) was far below USPS’s ($135.30), because USPS’s prices climb steeply above 25 lb and bulky boxes pay extra USPS fees.
This guide explains the inputs every calculator needs, which free tools compare carriers, and how dimensional weight and surcharges change the answer.
Key Takeaways
- Enter dimensions, not just weight. USPS, UPS and FedEx all bill large, light boxes by dimensional weight: length × width × height ÷ 139. FedEx applies it to every package. USPS applies it only to boxes over 1 cubic foot.
- Online labels are cheaper than the counter. USPS commercial Ground Advantage prices were 16% to 44% below retail in October 2026 for packages from 1 to 20 lb.
- Compare the total price. UPS and FedEx account rates add fuel, residential and other surcharges. FedEx’s Ground fuel surcharge was 28.75% for the week of October 19, 2026.
- Free multi-carrier tools such as Pirate Ship (USPS and UPS) and Shippo (which lists 40+ carriers) show several carriers on one screen.
- Check Flat Rate for dense items. A Priority Mail Medium Flat Rate Box cost $22.02 with an online label in October 2026, for anything that fits, up to 70 lb.
The Five Inputs That Determine the Price
1. Weight
Weigh the packed box, including packaging, on a kitchen or postal scale. USPS advises against using a bathroom scale. Carriers round up: USPS Ground Advantage under 1 lb is priced in 4, 8, 12 and 15.999 oz steps, and anything heavier rounds up to the next pound.
2. Dimensions
Measure length, width and height at the widest points, rounding any fraction up to the next whole inch, which is how USPS and FedEx measure.
Dimensional weight = (L × W × H) ÷ 139. You pay for whichever is greater, the dimensional weight or the actual weight. A 24 × 18 × 12 inch box has a volume of 5,184 cubic inches, which gives a dimensional weight of 38 lb, even if it weighs 5 lb.
USPS switched to the 139 divisor on July 12, 2026 and applies it only above 1,728 cubic inches (1 cubic foot). FedEx applies dimensional weight to all shipments in customer packaging. That’s why a small 12 × 10 × 6 inch box (720 cubic inches) is billed at 6 lb by FedEx but at its actual weight by USPS.
3. Origin ZIP Code
Your origin and destination together set the zone. USPS uses Zones 1-9 and FedEx uses Zones 2-8 for the contiguous U.S. Each carrier has its own zone chart, so the same trip can fall in different zones.
4. Destination ZIP Code
Besides the zone, the destination can trigger surcharges. FedEx charges a delivery area surcharge, for example $6.60 per residential package in designated areas in 2026. Home deliveries also carry a residential charge with UPS and FedEx.
5. Service Level
USPS’s own delivery estimates are:
- Ground Advantage: 2-5 days
- Priority Mail: 2-3 days
- Priority Mail Express: 1-3 days, guaranteed
FedEx Ground and UPS Ground deliver in 1-5 business days. Express and overnight services cost several times more.

Carrier calculators
- USPS: postcalc.usps.com shows retail prices and delivery estimates. Click-N-Ship shows lower commercial prices when you buy a label.
- FedEx: FedEx’s rating tool, at fedex.com/en-us/online/rating.html, shows rates and transit times. FedEx also publishes its 2026 retail and list rate tables as PDFs.
- UPS: The Calculate Time and Cost tool is on UPS’s shipping tools page.
Multi-carrier tools
- Pirate Ship: free label software for USPS and UPS. It advertises no monthly fees, no markup and no hidden costs, and lets you compare UPS and USPS prices side by side before you buy the label.
- Shippo: its calculator compares USPS, UPS, FedEx and others; Shippo’s site says 40+ carriers. Its pricing page lists a free plan for up to 30 labels a month.
- Stamps.com: a subscription service, with plans listed from $14.99 a month in October 2026.
- Marketplace label tools: eBay Labels and Etsy Labels show discounted rates inside the seller account.
How to Use a Rate Calculator
- Weigh the packed package, and round up.
- Measure the packed box in whole inches, rounding up.
- Enter the full 5-digit origin and destination ZIP Codes.
- Mark the address as residential or commercial if the tool asks. It changes UPS and FedEx prices.
- Compare the total, including surcharges, insurance and signature options, not only the base rate.
- Buy the label online for the lower price.
Worked Examples: How the Cheapest Option Shifts
These are October 2026 prices for a cross-country shipment (USPS Zone 8 and FedEx Zone 8). USPS figures are Notice 123 retail and commercial prices, including any dimensional weight and nonstandard fees. FedEx figures are its 2026 retail Ground rates, which already include fuel, residential and standard delivery-area surcharges.
| Package | USPS Ground Advantage, retail / online | USPS Priority Mail, retail | FedEx Ground, retail | Cheapest here |
|---|---|---|---|---|
| 8 oz, 8 × 6 × 4 in | $10.20 / $8.95 | $17.95 | $19.59 (billed at 2 lb dimensional weight) | USPS |
| 3 lb, 12 × 10 × 6 in | $23.15 / $16.30 | $28.10 | $30.18 (billed at 6 lb) | USPS |
| 10 lb, 14 × 12 × 8 in | $40.85 / $26.39 | $63.40 | $39.10 | USPS online; FedEx at retail |
| 25 lb, 20 × 16 × 12 in | $135.30 / $119.23 (billed at 28 lb, plus $21 volume fee) | $184.70 | $93.40 (billed at 28 lb) | FedEx |
| 3 lb, 30 × 24 × 12 in | $220.20 / $211.62 (billed at 63 lb, plus $25.50 in fees) | n/a | $154.74 (billed at 63 lb) | Use a smaller box |
The cheapest carrier changed with the package, and so did the gap between counter and online prices. The last row shows why box size matters more than carrier choice. A 3 lb item in a 5-cubic-foot box pays for 63 lb with every carrier.
Common Mistakes That Cost Money
1. Ignoring dimensional weight. With the 139 divisor at all three carriers, an oversized box can multiply the price. Use the smallest box that protects the item.
2. Paying counter prices. For Ground Advantage, online commercial prices ran 16% to 44% below retail for packages from 1 to 20 lb. The gap is smaller for some Priority Mail weights and zones.
3. Assuming one carrier always wins. In the examples above, USPS won the light packages and FedEx the heavy one. If you ship a range of sizes, compare every time. See our USPS vs FedEx vs UPS comparison.
4. Forgetting surcharges. For FedEx account shipments in 2026, add a fuel surcharge (28.75% on Ground for the week of October 19), a $6.45 Home Delivery residential charge and any delivery-area surcharge. UPS has its own equivalents. USPS doesn’t add fuel or residential surcharges, but its prices currently include temporary increases that run through January 17, 2027, and it charges nonstandard fees for long or bulky boxes. See our carrier comparison.
5. Skipping Flat Rate. The Priority Mail Medium Flat Rate Box cost $25.80 at the counter and $22.02 online in October 2026, regardless of weight up to 70 lb or distance. For a dense 20 lb item going to Zone 8, that’s well below Ground Advantage’s $42.14 online price. See USPS Flat Rate vs Weight-Based.
